Introducing Purchases: A Smarter Way to Track What You Buy

This release introduces the ability to capture and track purchases within the system. Now, you can easily create records of purchases from vendors, associate receipts, and keep a clear view of incoming inventory.

Key Features:

  • Purchase List View: View all the purchases you’ve made in one place. Use filters, sort options, and search to quickly find specific purchases.
  • Purchase Details: Dive into individual purchases to review and manage what’s been saved.
  • Batch Management: Easily batch delete or close purchases from the table view, saving you time on manual updates.
  • Vendor Integration: View all purchases related to a specific vendor directly on their vendor page, keeping all your records organized.

 

Purchases in iOS: Capture and Update on the Go

We’ve extended purchase tracking to the iOS platform, allowing you to manage your purchases on the go. Whether you’re receiving inventory or creating purchases retroactively, iOS now has you covered.

iOS Purchase Features:

  • Associate Received Lots: When you receive an order in iOS, you can now associate it with an open purchase, automatically updating the status to “received.”
  • Retroactive Purchases: Forgot to enter a purchase beforehand? No problem. You can now create purchases retroactively when receiving inventory in iOS, ensuring accurate records even after the fact.

 

Expected Inventory: Plan Ahead with Confidence

For businesses that want to keep an eye on incoming stock, we’ve introduced the Expected Inventory feature. Once all the correct entitlements are set up, this feature will show you how much of a given item is on its way but not yet received, helping you better plan and manage inventory levels.

 

Auto-Create Sales Orders and Purchases in iOS

We understand that some businesses, like BASE, don’t always enter data preemptively. Instead, they create sales or purchase records after the fact. To accommodate this use case, we’ve added settings that allow for automatic creation of Sales Orders or Purchases during your usual iOS workflows.

How It Works:

  • Auto-Creation Settings: Toggle on settings to automatically create Sales Orders when you pack an order or Harvest in iOS, or create a Purchase when you receive inventory.
  • Grouped Orders: If you toggle the settings on and work with the same vendor or customer multiple times in one day, these activities will be grouped into a single Sales Order or Purchase. The next day, a new Sales Order or Purchase will be created.

This setup is ideal for businesses where sales or purchases happen dynamically, and record-keeping needs to happen after the fact.

 

Permissions and Entitlements: Control Access as Needed

We’ve also introduced a new Purchases entitlement that allows organizations to control who can access and edit purchase records. Each user can have different permissions based on their role, ensuring that your data remains secure and editable only by those who need access.

 

QuickBooks Enhancements and Feedback

For businesses using our QuickBooks integration, we’ve implemented several improvements based on your feedback:

  • Invoice Date Sync: Invoices now reflect the activity date rather than the creation date.
  • Invoice Status: A new status indicator shows whether a customer has been emailed their invoice, giving you greater transparency into invoicing.
  • Timing Fixes: We’ve addressed a bug where deleting iOS activities too quickly could interfere with invoice creation, ensuring smoother syncs between BlueTrace and QuickBooks.

 

iOS Enhancements and Bug Fixes

The latest iOS update also includes some helpful new features and fixes:

  • Remaining Inventory Visibility: In the distributor app, we’ve added visibility into remaining inventory on the receive log tile, helping you manage stock more efficiently.
  • Vendor Updates: Added support for non-shellstock dealers who don’t require certifications, making vendor management more flexible.
  • Shipper Integration: If a shipper is assigned to a customer, it will appear as an option in iOS, even if Sales Orders aren’t in use. This helps businesses gradually adopt new features.
